General terms and conditions and internal regulations

When one door of happiness closes, another opens, but often we look so long at the closed door that we do not see the one that has been opened for us.

  1. General provisions

ON STAGE PROJECTS BV is the owner and operator of Boutique B&B Porta Superia and Motorhomes Porta Superia.

The operator can be replaced by a third party, who is responsible for day-to-day management.

These Terms and Conditions apply to all guests of Boutique B&B Porta Superia, located at Leopoldstraat 26 in 2800 Mechelen.

These General Terms and Conditions take effect upon entering into a rental agreement / reservation.

A copy of these General Terms and Conditions will be provided to guests free of charge upon simple request.

Tenants must have a permanent residence or residence and be at least 18 years or older.

All risks related to staying in Boutique B&B Porta Superia are the responsibility of the guests.

The owner or operator is not liable for damage, loss or theft of guests' property.

In case of disputes, all (legal) costs are for the account of the guests.

Damage and loss of movable and immovable property of the owner or operator must be reported immediately by the guests (and if necessary reimbursed) to the operator.

Guests must follow the operator's instructions.

In case of violation of these General Terms and Conditions and in case of inappropriate behavior, the operator can immediately deny access to guests Boutique B&B Porta Superia denial, without further notice and statement of reasons and without refund of accommodation costs.

The operator's records are decisive without disagreement, unless the guests can prove otherwise.

The owner decides on all deviations that are not included in these conditions.

Guests of Boutique B&B Porta Superia must comply with these terms and conditions and the Internal Regulations.

2 Reservation and confirmation

The rental agreement can be entered into verbally, by telephone and in writing or via a request via the web form on our website or via affiliated booking sites.

You can also request availability via this website(s). After receiving your reservation request, send Boutique B&B Porta Superia a final confirmation by e-mail. After that, the reservation is final for both parties.

The website www.portasuperia.be refers to these General Terms and Conditions.

No additional reservation costs will be charged for booking a stay in Boutique B&B Porta Superia.

3 Costs and payment

The accommodation costs Boutique B&B Porta Superia must be paid no later than on departure. This is preferably done via the current payment cards (Visa, Mastercard, Maestro, American Express, Payconiq), via bank transfer in advance, via Vlaanderen Vakantieland cheques, via ecocheques or, if necessary, cash (in Euro).

The operator can deviate from these conditions in consultation with the tenant.

When booking a period of more than 2 days, the operator may request an advance of 40% of the agreed rental price.

For each stay, the Tax on the provision of accommodation of the City of Mechelen (in short 'city tax') is charged separately (current rate on website).

If it is established, even after departure, that items have been taken, stolen or damaged by the guests, these costs will be charged.

These costs must be reimbursed by the guests within 7 days.

Theft or malicious intent will always be reported to the police.

In case of violation of the general smoking ban in our accommodation, a fine of 200 € will be charged, after repeated determinations, you may be asked to leave the accommodation.

In case of loss/theft of the key, a fixed amount of 250 € will be charged. If the costs are higher than this amount, the guest's family insurance will be claimed.

4 Cancellation or no show

In the unlikely event that you are unable to comply with the rental agreement entered into, you must report this to us as soon as possible so that we can still offer the released reservation to third parties.

In case of cancellation, the tenant pays a fee to the operator according to the chosen rate:

For individual bookings:

When booking you have the choice between flexible or non-refundable rates.

A non-refundable rate is cheaper but the consequence, as the name already indicates, that you can no longer cancel your stay free of charge.

This is never good news, but we cannot bear this for you, we count on your understanding and respect when applying and following these conditions. You can move the reservation free of charge at the latest 2 weeks before arrival if the reservation was made directly through us and not through the website of third parties. After these 2 weeks this is no longer possible.

You can cancel the flexible / refundable rates up to 48 hours before your arrival.

Example: If you booked a stay and wish to cancel less than 48 hours before the date of arrival, the entire stay will be charged.

So if you want to cancel before tomorrow, you should have canceled before 4pm yesterday.

Even if you do not come, this stay will be charged.

Refundable rate

  1. if canceled up to 2 days before arrival 4:00 pm: no cancellation costs will be charged
  2. less than 2 days before arrival or no-show: 100% of the agreed price will be charged.

Non-refundable rate

In case of cancellation at any time or no-show: 100% of the agreed price will be charged.

The amount due is then to be transferred within 14 days to the bank account of the operator or the payment method specified when booking is charged.

For non-refundable group bookings (>2 rooms):

From 2 rooms we speak of a group booking, different cancellation conditions apply:

• Between 7 and 0 days before arrival: 100% cancellation fee

• Between 21 and 8 days before arrival: 50% cancellation fee

• more than 21 days before arrival: 20 % cancellation costs

It is not possible to choose a flexible rate for group bookings.

6 Complaints and disputes

In the first instance, complaints should be reported to the operator, so that a suitable solution can be sought immediately to ensure that the continuation of your stay runs as smoothly as possible.

In the unlikely event that this gives insufficient satisfaction, you can send a letter to the operator (see address details above).

The Flanders Tourism Office of the Flemish Government is the competent authority that issues the permit and where further information can be obtained about the regulations regarding the operation of tourist accommodation and the legal remedies that are generally available in case of disputes and where the tourist can submit a complaint.

In case of disputes, only the courts of Antwerp, division Mechelen have jurisdiction.

Arrival and departure

On arrival you must first report to the operator.

You will be asked to show your passport or proof of identity for proof of identity.

On the day of arrival you can use your room in the Bed & Breakfast from 4 pm.

On the day of departure, the Bed & Breakfast must be vacated by 11 a.m. at the latest.

Check-in is possible during the week between 4 pm and 10 pm and on weekends between 12 pm and 2 pm.

Check-out is possible between 7am and 11am.

It is only possible to deviate from the above times in consultation.

In case of later check-out or earlier check-in, a supplement of 35 € or an overnight stay will be charged depending on the check-in or check-out time.

No refund will be made in the event of early departure.

The bill will be drawn up together with you upon departure.

This includes the costs of the overnight stay with breakfast, the extra drinks / food consumed, the wellness facilities used, any purchases and supplements and the city tax.

8 Breakfast

Breakfast is served in the common room during the week between 7 am and 10 am and during the weekend from 8:30 am. Breakfast can be served earlier on request.

Breakfast is not always included in the overnight stay, it depends on the rate you have chosen and is clearly indicated.

If you are allergic to certain foods, you must report this to the operator at the latest the evening before, so that the necessary precautions can be taken and alternatives can be arranged if necessary.

9 Your stay

Noise pollution, especially between 10 pm and 7 am, is not allowed.

Radios, televisions and other sound sources must not cause nuisance to others. The same applies to (too loud) conversations or other activities in the rooms or common areas.

Use by third parties of the Bed & Breakfast is not allowed.

Visitors are not allowed to stay overnight in the accommodation without the permission of the operator.

10 Use of the facilities

Use of the facilities is always at your own risk.

Children and young people under the age of 16 are never allowed to use the facilities unsupervised and / or unaccompanied. Depending on the booking or package, these facilities may be included or charged. Ask the operator about possible supplements in advance.

Guests can use the garden between sunrise and sunset provided they respect the privacy of other guests, residents or neighbors.

For their own good it is not allowed to feed the animals.

If conditions permit, guests can have breakfast outside on the terrace. This must be arranged the evening before.

11 Safety and the environment

The accommodation must be kept clean and tidy and left tidy.

Waste must be separated and deposited in the appropriate waste bin. In the rooms we provide a waste bin for residual waste, PMD and paper.

Bed linen and towels are only replaced for multi-day stays at the explicit request of our guests

The first aid kit is located on the ground floor (see pictograms). Small fire extinguishers can be found spread over the accommodation at the relevant signage.

The presence of suspicious persons can be immediately reported to the operator.

Pets are not allowed (except with the express permission of the operator, an official guide dog).

Smoking and open fire are not allowed due to fire safety.

The bedrooms are suitable for sleeping a maximum of two persons, with the exception of the suite which is suitable for a maximum of 4 persons.

The entire accommodation is suitable for sleeping up to twelve people.

The property is accessible 24 hours a day during your stay with the key provided at check-in.
